Facilities & Building Coordinator


Location: New York, NY - Midtown Manhattan

The Firm: Large U.S. Multinational Corporation
Hours: 9:30 - 5:30pm

Summary: The Facilities and Building Coordinator will report to the Senior Manager of Operations, Risk Management & Real Estate and will be responsible for the administrative day-to-day support of the Real Estate & Risk Management Department.


Key Responsibilities:

  • Ensure Confidentiality of all documentation

  • Manage, inspect, and monitor construction and installation progress of all ongoing projects

  • Update space plans and coordinate office moves and changes

  • Administer the company/office supply vendor relationship, ensure company requirements are met

  • Compose Firm correspondence via written, email and verbal

  • Schedule meetings, establish and maintain calendar deadline reminder items

  • Prepare large document sets and participate in scanning projects

  • Audit documents

  • Create ad-hoc reports (monthly, quarterly, and annually)

  • Review and update lease documents



  • Bachelor’s degree required

  • 3+ year of Real Estate, Construction, Management, or related business experience in a Legal, Financial or Professional Corporate Environment

  • Effective written and oral communication skills

  • High levels of personal organizational, planning and management skills

  • Ability to work both independently and with a team in a fast-paced, high-pressure environment.

  • Impeccable attention to detail and exacting standards.

  • Knowledge and understanding of lease agreements, contracts, and/or vendor management.

  • Ability to present and maintain a professional appearance and demeanor.

  • Excellent command of Word, Excel, and PowerPoint is required and ability to learn new software.

  • Knowledge of AutoCAD, Visio, or SketchUp to assist with space planning assignments.

  • Must be able to climb, kneel, lift and carry items up to 30 lbs

  • Flexibility for overtime, including weekends, as required.
