Legal Executive Assistant
to Corporate Litigation Partner

Summary:  One of America's most respected and globally structured multinational law firms is seeking a talented Legal Executive Assistant to work for a noted Corporate Litigation Partner and perform the liaison functions with his team.

 

This Legal Executive Assistant will interface with senior executives who are clients of the firm as well as internal staff and attorneys who are in various global offices.

 

You will provide administrative and assistant support to multiple attorneys in a fast-paced, upbeat and positive environment.   As a team member, you will work with various levels of attorneys where support is provided in a team-based structure.

 

You should be personable, responsive and proactive with a strong work ethic. The position requires performing diversified and confidential duties.  The role hinges on broad and comprehensive experience and skills to help the Partner, be more productive. 

 

Compensation & Benefits:  Base salary is $80,000 to $95,000, based on experience plus well paid OT and generous bonus.  Generous PTO.  Comprehensive Medical, Dental, Vision, Life, Disability and other health and wellness benefits. Responsibilities:

  • Act as a liaison between the team attorneys and other departments throughout the Firm

  • Reviewing requests thoroughly, clarifying needs and asking thoughtful questions

  • Resolve issues with a high level of attention to attorney preferences; provide accurate, valid and complete information in response to requests.  Leverage the many available tools and resources of the firm to complete tasks.   

  • Collaborate with fellow team members to achieve successful request completion or resolution to the attorney’s and Firm’s satisfaction

  • Request and follow-up on conflict checks, open new client matters and submit electronic approvals, as needed

  • Serve as an ambassador for both the Firm and assigned attorneys in interactions with clients.  Someone who enjoys working with people. 

  • Create, edit and process client bills as applicable

  • Coordinate audit response letters

  • Enter, proofread and finalize diaries

  • Create, format, edit, proofread, compare, print, scan and photocopy documents in Word, Excel and PowerPoint; prepare faxes, PDFs and duplicating

  • Heavy calendaring in Outlook as required by assignment; manage contacts lists and send invitations. Act as a proactive gatekeeper of attorneys’ calendar and time

  • Answer phones; take and communicate accurate messages with appropriate urgency and follow up as necessary, route calls to appropriate legal and non-legal staff members

  • Coordinate absence memorandums per attorneys’ specifications 

  • Arrange, coordinate and organize travel with support from onsite agents and the online travel booking tool

  • Prepare and submit expense reports and reimbursements

  • Create and maintain case lists

  • Manage conference room reservations; organize services/setups, advise building’s lobby desk of visitors

  • Enter contacts, update information and create event lists and mailing lists in Interaction

  • Conduct research as requested

  • Build sustainable relationships of trust through open and interactive communication

  • Go the extra mile to engage lawyers and reduce attorney focus on administrative matters

  • Provide absence coverage for other legal assistants

  • Participate actively in the development and maintenance of shared resources 

 

Experience Required

  • Five (5) years of related experience reporting into a Partner or Senior Partner or Senior Partner Team in a large, professional law firm

  • The ability to communicate effectively with internal staff and clients of the Firm in person and on the phone

  • An attention to detail and the ability to work independently and as a member of the team

  • Comprehensive skills to work effectively with Word, Excel and PowerPoint; and calendaring in Outlook
