HOURS: Monday – Friday 4:00PM12:00AM

THE ORGANIZATION: An International Law Firm

SUMMARY: A major international law firm is looking for a highly adaptable Document Services Administrative Assistant with exceptional communication skills, who is interested in joining one of the most prestigious global law firms in the world.




  • Extensive research and review of department billing for clients

  • Assist with organization of department documents and training materials

  • Research and compile department statistics regarding staffing and billing

  • Create complex graphs and charts utilizing both Excel and PowerPoint

  • Assist with quality control of department work product

  • Assist Supervisor with training documentation and materials

  • Assist with new hire training schedules and orientation

  • Perform complex administrative activities which may be highly confidential and sensitive, and require discretion and diplomacy

  • Assist with work intake and department work requests

  • Assist with the following technical Document Services requests as needed

  • Revise, format and blackline documents

  • Convert documents from various formats to Word, Excel, PowerPoint, Visio and format according to the firm’s standard format

  • Insert/revise Table of Authorities

  • Format large SEC documents, including financials

  • Execute defined terms checks and automate cross-referencing in large briefs

  • Download, organize and print data room documents

  • Assist with answering Help Desk calls

  • Process expense reports and schedule department meetings




  • 3+ years of related administrative experience within the legal and or financial services industries.

  • Organized self-starter with great customer service skills and outstanding oral and written communication skills

  • Attention to detail with the ability to adapt to advanced technology and emerging software, and commitment to the department and organizational goals

  • Knowledge of Microsoft Word, Excel, PowerPoint and Outlook is required

  • Minimum typing speed of 60 wpm

  • Updating schedules and reviewing absences in PeopleSoft

  • College degree is preferred

  • Create and revise complex legal documents while adhering to Firm formatting guidelines

  • Meet with both lawyers and administrative staff to discuss documents while keeping a log of the work to be completed

  • provide at-desk support to lawyers or provide off-site client support as requested

  • Revise, format, proofread and black-line documents 

  • Scan documents either for conversion to Word or emailing in PDF format 

  • Download and print data sites 

  • Troubleshoot document and/or technical inquiries

  • Extensive typing (either from handwritten notes, Dictaphone tapes, digital dictation, or pre-typed drafts), formatting and revising legal documents

  • Answer telephones and providing technical help when required




  • 5+ years of experience as a word processor in a legal or financial services organization

  • Expert knowledge of Microsoft Word, Excel, PowerPoint, Visio, Acrobat, OmniPage, and Outlook

  • Excellent work ethic and strong teamwork skills in a high volume, minimally staffed environment

  • Must be flexible, organized, able to work under pressure and meet deadlines with a calm, pleasant demeanor

  • Must be able to work with minimal supervision, make independent, well thought out decisions and troubleshoot documents

  • Strong written and verbal communication skills with the ability to interact professionally with attorneys, staff and clients

  • Accurately type 60 wpm or higher
